This Privacy Policy applies to personal information processed through our website, CRM applications, WhatsApp integrations, AI automation services, and related business applications. It covers visitors of our website, our business customers, prospective customers, the end customers of our business customers, and anyone who communicates with us by phone, email or WhatsApp.
2. Scope of our CRM and WhatsApp integration services
Shree Ram AI Solutions LLP develops and operates AI-powered business management and customer relationship management software, including integrations with the WhatsApp Business Platform.
Our services may allow business customers to connect their WhatsApp Business Accounts, manage customer conversations, automate responses, integrate artificial intelligence, and manage customer communications from a centralized dashboard.
3. Information we collect

- The content of messages you send us through our contact form, email, phone or WhatsApp, including any files, images, voice notes or location you choose to share.
- Business and billing information you provide when you engage our services (e.g. GSTIN, billing address).
Information collected automatically
- Technical data such as IP address, browser type, device type, pages visited and the date and time of your visit.
- WhatsApp message metadata provided to us by Meta's WhatsApp Business Platform, such as your WhatsApp profile name, phone number, message timestamps and delivery/read status.
Information processed through our CRM and WhatsApp integrations
When business customers use our CRM and WhatsApp integrations, we also process the information described in sections 6 to 9 below.
We do not knowingly collect sensitive personal data (such as financial account passwords, health or biometric data) unless strictly required for a service you request and with your explicit consent.
4. How we use your information
- To respond to your enquiries and provide quotes, support and customer service.
- To deliver, operate and improve the services you have engaged us for, including our CRM, WhatsApp integration and AI automation services.
- To send you transactional and service messages on WhatsApp, SMS or email — for example, enquiry acknowledgements, appointment or service updates, invoices, reminders and support replies.
- To send you promotional or informational messages, only where you have opted in to receive them.
- To maintain security, prevent fraud and abuse, and comply with legal obligations.
5. Our own WhatsApp communications
We use the WhatsApp Business Platform (provided by Meta Platforms, Inc.) to communicate with our own customers and prospects. When you interact with us on WhatsApp:
- Opt-in: We will only message you on WhatsApp if you have contacted us first, or have given us your WhatsApp number and consented to receive messages from us (for example, through our website form, in person, or over the phone).
- Opt-out: You can stop receiving messages at any time by replying STOP on WhatsApp, blocking our number, or emailing ab@shreeramai.in. We will honour your request promptly.
- Automated replies: Some replies may be generated by an automated or AI-assisted assistant. You can ask to speak to a human at any time.
- Meta's processing: Messages are transmitted through Meta's infrastructure and are also subject to WhatsApp's Privacy Policy and WhatsApp Business Terms.
- We never send spam, and we never sell or rent your WhatsApp number to anyone.
6. WhatsApp Business Account connection and authorization
When a business customer connects its WhatsApp Business Account to our CRM using Meta's authorized onboarding mechanisms, including Embedded Signup where supported, we may process the following information:
- Business name and WhatsApp Business Account ID.
- Business phone number and Phone Number ID.
- Business profile information.
- Messaging templates and their approval status.
- WhatsApp messaging events and delivery information.
- Account authorization information and permissions granted by the business.
- Technical identifiers required to maintain the integration.
We use this information to establish and maintain the authorized connection, provide messaging functionality, troubleshoot integration problems, and deliver services requested by the business customer.
We access and manage WhatsApp business assets only within the permissions granted to us and in accordance with applicable Meta and WhatsApp policies.
7. WhatsApp Business App coexistence
Where supported by Meta and enabled by the business customer, our CRM may integrate with an existing WhatsApp Business App through the official WhatsApp Business Platform.
This integration is intended to allow businesses to continue using supported features of their WhatsApp Business App while accessing additional CRM, automation, and messaging capabilities.
The information accessible to our systems, including any available message history, synchronized events, or account information, depends on Meta's supported functionality and the permissions granted during onboarding.
We do not independently access private WhatsApp conversations outside the scope of the authorized integration.
8. Customer messages and conversation data
When customers communicate with a business using our CRM, we may process information such as:
- WhatsApp phone numbers and profile names.
- Incoming and outgoing text messages.
- Images, documents, audio messages, and other supported attachments.
- Message timestamps, message identifiers, and delivery/read statuses.
- Customer enquiries, service requests, appointments, and support information.
- Conversation history and CRM records associated with the business.
We process this information to provide the messaging, customer service, CRM, and automation features enabled by the business customer.
The business customer is generally responsible for determining why and how its customers' personal information is used. Shree Ram AI Solutions LLP processes such information to provide the contracted services, subject to applicable agreements and legal obligations.
9. AI-powered conversations and automated processing
Our CRM may provide artificial intelligence features, including automated WhatsApp replies, conversational assistants, customer enquiry classification, lead qualification, conversation summaries, and workflow automation.
Where enabled, customer messages and relevant conversation context may be processed by AI systems to generate responses or perform the functions requested by the business customer.
AI-generated responses may be inaccurate or incomplete. Business customers are responsible for configuring appropriate automation rules, human oversight, and escalation procedures.
Where applicable, users may request human assistance through the business with which they are communicating.
We do not use one client's customer conversations to train AI models for another client.
If third-party AI providers process conversation information, we will disclose the relevant categories of providers and applicable processing arrangements.
10. Client data isolation and confidentiality
We maintain appropriate technical and organizational measures intended to prevent unauthorized access to client information.
Each business customer's CRM records, connected WhatsApp accounts, and conversation data are logically separated through access controls and application-level permissions.
Authorized personnel may access information when reasonably necessary for support, troubleshooting, security, or service delivery, subject to confidentiality obligations.
We do not sell client customer information or disclose one client's identifiable customer records to another client for independent use.
11. Third-party service providers and sharing
We do not sell your personal information.
To operate our services, we may use authorized technology providers for cloud hosting, database infrastructure, messaging, artificial intelligence, analytics, email delivery, payment processing, and technical support. These may include Meta and WhatsApp for messaging infrastructure, Amazon Web Services for hosting, and AI service providers where configured for the relevant service.
We share only information reasonably necessary for the relevant service and apply appropriate contractual, confidentiality, and security safeguards. Where service providers process information outside India, such processing is subject to applicable legal requirements and contractual protections.
We may also share information with:
- Government authorities, courts or law-enforcement agencies where required by law.
- A successor entity in the event of a merger, acquisition or restructuring, subject to this policy.
12. Data retention and deletion
We retain personal information only for as long as necessary to provide our services, fulfill contractual obligations, maintain security, or comply with applicable legal requirements (for example, tax and accounting records).
Different categories of information may have different retention periods, including website enquiries, customer conversations, CRM records, integration credentials, technical logs, and billing information. Enquiries and chats with us directly are generally retained for up to 24 months after our last interaction, after which they are deleted or anonymised.
Business customers may request the deletion of eligible CRM information and the disconnection of their WhatsApp integration.
Following an authorized disconnection or deletion request, we will remove or disable relevant access credentials and delete applicable information in accordance with our retention schedule, contractual obligations, Meta's requirements, and applicable law.
Certain information may be retained where legally required. Backup copies may remain temporarily until their scheduled deletion, subject to appropriate restrictions.
Further instructions are available on our Data Deletion page (https://shreeramai.in/data-deletion/).
13. WhatsApp account disconnection
Business customers wishing to stop using our WhatsApp integration may contact our support team or use any available disconnection functionality provided within our CRM.
Following a verified request, we will take the appropriate steps to revoke or remove our application's access, stop automated messaging through the disconnected integration, and handle associated information in accordance with our deletion and retention policies.
Disconnecting our CRM does not necessarily delete the business customer's WhatsApp Business Account or information independently retained by Meta.
14. Data security
We use reasonable technical and organisational safeguards — including encrypted connections (HTTPS), access controls and restricted staff access — to protect your information.
Security of WhatsApp integrations
We apply appropriate safeguards to protect WhatsApp integration information, including authentication credentials, access tokens, account identifiers, and messaging records. Safeguards may include encrypted network communications, access restrictions, secure credential storage, activity monitoring, and controls designed to prevent unauthorized access.
We review security practices as our services evolve and respond to identified security incidents in accordance with applicable obligations. No method of transmission or storage is 100% secure, but we work to protect your data and will notify you as required by law in the event of a breach.
15. Your rights and privacy requests
Subject to applicable law, including the Digital Personal Data Protection Act, 2023, you may:
- Request information about our processing of your personal data, or a summary of the personal data we hold about you.
- Request correction or updating of inaccurate data.
- Request deletion of your data (see our Data Deletion page).
- Withdraw consent where applicable, including for marketing or WhatsApp messages, at any time.
- Raise a privacy-related complaint with us, and, if unresolved, with the Data Protection Board of India.
Where we process personal data on behalf of a business customer, we may refer the request to that business or coordinate with it to respond appropriately.
16. Cookies
Our website uses only essential cookies and basic analytics needed to operate and improve the site. You can disable cookies in your browser settings; some features may not work as intended.
17. Children
Our services are intended for businesses and are not directed at children under 18. We do not knowingly collect data from children.
18. Changes to this policy
We may update this policy from time to time. The latest version will always be available on this page with its effective date.
